One room for the meeting

A Board Room can give one meeting a defined set of registered members and controlled recipient shares, with the prepared pack and supporting files in one context. It avoids distributing successive attachments and asking directors to reconstruct the intended pack themselves. A clearly named file or folder provides the operating cue; Dossira does not yet assign a current-pack or closing-record state.

    Choose the meeting

    Select Board Room when requesting early access. Room-specific creation defaults are still being introduced through the private preview.

    Add prepared material

    Upload the prepared pack and supporting files. A built-in agenda-section structure is not yet available.

    Set up access

    Use registered organisation members or controlled external shares. Board-specific participant roles are not implemented.

    Share the prepared pack

    Create the appropriate controlled share when material is ready. Dossira does not yet provide a pack-release or publication state.

    Communicate changes

    Upload clearly named replacement material and notify participants through the organisation’s normal communication channel; automatic change notifications are not implemented.

    Record governance actions elsewhere

    Keep comments, acknowledgements, approvals, minutes and decisions in the systems and procedures approved by the organisation.

    Take available files with you

    Download the files available to you after the meeting. A room-closing state and complete meeting-record export are not yet available.

What the board sees

Clearly identified board material

Use a clear filename or Current folder to show which prepared pack participants should use. Dossira does not yet assign a released or authoritative pack state.

Meeting documents in context

Keep the pack, supporting papers and prior material together in a folder structure chosen for the meeting.

Members and controlled recipients

Use registered organisation members or create a controlled external share. Board-specific Chair, Director, Secretary and Observer roles are not implemented.

Changes and decisions

Not available as a board workflow in the current private preview. Notify participants, record acknowledgements and preserve formal decisions through your organisation’s established systems.

A focused distribution room, not a complete governance suite

Dossira Board Room is intended for controlled board-pack file distribution. It does not replace a complete governance suite with automated minutes, action registers, board assessments, signatures, offline applications and every statutory workflow. Keep the meeting’s formal record in the systems and procedures approved by your organisation.

Questions boards and administrators ask

Is one Board Room one meeting or one permanent board?
The suggested private-preview model is one workspace for one meeting or pack cycle. Dossira does not yet provide a permanent board hierarchy or enforce a Board Room setup, so your organisation should define and document the operating convention it uses.
Can we create the next meeting from the previous one?
Not through a built-in duplicate-meeting or recurring-board template workflow. Room-specific creation defaults and templates are not yet implemented in the private preview.
Can selected documents be limited to selected members?
Granular agenda-section or per-document permissions for registered members are not implemented. For an external recipient who should receive only a subset, create a separate deliberate share for that subset and use confirmed-email access where it should be tied to a named address.
Can directors acknowledge the current pack?
Not yet. Dossira does not currently record board-pack acknowledgements or prove which file version a director considered. Use your organisation’s established acknowledgement process.
Can decisions be recorded?
Not yet. Customer-facing comments, decisions and approval records are not implemented in the current private preview. Keep minutes, resolutions and statutory records in the systems approved by your organisation.
Can the meeting record be exported?
Not as a complete meeting record. Users can download files available to them, but a room-closing state and an export containing activity, acknowledgements or decisions are not implemented.
Is Dossira a complete board-management suite?
No. The current private preview supports file organisation and controlled sharing. It does not provide automated minutes, action registers, board assessments, signatures, offline board applications or every statutory workflow.
